As a Workplace Services Manager at Rapyd you will be the face of daily life at our office in Israel. Your role will be responsible to oversee and manage the operational services. Ensuring a safe, efficient, and employee-centric workplace. This role requires strong organizational skills, a customer-service orientation, a proactive approach to problem-solving, and a keen eye for financial management. This role will be a key team player within the Global operations department. 

Key Responsibilities:

  • Strategic Planning: Develop and implement a comprehensive workplace strategy aligned with the company’s business objectives.
  • Operational Excellence: Oversee the day-to-day operations of workplace services, including reception services, workplace environment, sustainability, responsible for monthly reports.
  • Standardization: Establish consistent best practices and procedures.
  • Vendor Management: Manage vendor relationships and contracts with suppliers to optimize costs and ensure timely delivery. Maintain accurate records of purchases and inventory.
  • Financial Management: Develop and manage the annual budget for global operations service lines. Monitor expenses, identify cost-saving opportunities, and track actual spending against budget.
  • Team Leadership: Lead and manage the Admin team, providing guidance, support, and development opportunities. Foster a positive and collaborative team culture.
  • Workplace Experience: Prioritize employee satisfaction and well-being by implementing innovative solutions and initiatives with HR employee experience team.
  • Events: Lead the planning of company events, collaborate with relevant stakeholders, including HR, marketing, IT and finance, to ensure successful event delivery.
  • Space Management: Optimize space utilization through effective planning and allocation. Oversee office moves and seating arrangement and furniture. 
  • Wellness Services: Implement and manage wellness programs, such as fitness initiatives, Rapyd care services, and service providers. Collaborate with HR to promote employee well-being and work-life balance.
  • Innovation and Continuous Improvement: Identify opportunities to improve workplace services and employee experience. Develop and implement innovative solutions to enhance efficiency and productivity.

Requirements

  • 3+ years of experience in workplace services, facilities management, or a similar role.
  • Strong understanding of procurement processes and contract negotiation.
  • Experience in managing vendor relationships and service level agreements.
  • Strong financial acumen and experience in budget control and tracking.
  • Excellent organizational, time management, and problem-solving skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong communication and interpersonal skills.
  • Proficiency in facility management software and tools.
  • Ability to work independently and as part of a team.
  • Proven leadership skills and experience in managing and developing teams.
  • Experience in event planning and management.
  • A passion for innovation and a desire to drive continuous improvement.
